FUNCTION
Provide support to the Director of Education and education staff by assisting with program development and delivery. Help manage operational and logistical issues both in the office and in the field.

Support the Director of Education in areas ranging from financial reporting and tracking to program development and delivery.

Answer telephones and interact with the public, record-keeping and various administrative and general office duties.

Provide expertise in central office services such as voicemail, mail services, purchasing and maintenance of office supplies and equipment and basic graphic product support for the Educational Outreach and Marketing Department.

Manage the accounts payable system including submitting vouchers, petty cash and employee expense and travel reports for the Education division.

Any other related tasks as assigned or requested by management.

Perform general clerical duties to include but not limited to: photocopying, faxing, scanning, mailing, and filing.

Maintain hard copy and electronic filing system.

Coordinate and maintain records for staff office space, phones, company credit cards, invoices and vouchers, office keys, Nature Center visitor’s log and counter.

Open and close Nature Center following established procedures and routines.

KNOWLEDGE/SKILLS:
• Demonstrable interest and background in natural resources and/or environmental education.
• Bachelor’s degree required, 3 to 5 years work experience related to natural resources/education, environmental education preferred.
• Knowledge of principles and practices of basic accounting.
• Three years experience working in an office environment with demonstrable office management skills.
• Advanced knowledge of Microsoft Word, Excel and PowerPoint, with ability to construct and produce reports. Data entry and analysis experience a plus.
• Ability to process check requests, A/P vouchers, expense reports and reconcile and maintain petty cash.
• Strong interpersonal, presentation and written skills.
• Strong organizational skills and attention to detail.

• Make day-to-day decisions as delegated by Department Director.

• Ability to work with and communicate with a wide range of people including: staff, vendors, visitors, children and the public.
• Strong oral and written communication skills a must.
• Ability to analyze available information for the purpose of coordinating efforts, planning meetings and implementing projects.
• Ability to consistently demonstrate professional, positive, and approachable attitude/demeanor.
• Ability to use discretion and sensitivity in handling confidential information.
• Management reserves the right to assign work. Due to the nature of team assignments, varying manpower levels, special projects, or other situations, any employee may be required to perform duties and responsibilities outside of their regular job description.

The Administrative Assistant station is located at the Nature Center at Avalon Canyon, in Avalon. The location has moderate noise levels and is a non-smoking environment.
• The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Position involves functioning in an office environment. The employee must occasionally lift and/or move up to 25 pounds.

Employee must live and work on Catalina Island.
